PHSA Board Meeting
Minutes

Absent: Doris MacDonald, Liz Arbittier, Barbara Miller, Shannon Muldoon.
Treasurer’s Report
Audrey presented the report in Barbara’s absence.

$33,027.82 money market account
$44,615.51 total
$54,000 was spent on the banquet in 2007.
Barbara suggested that the Devon barn restoration obligation be paid in full in 2009. PHSA paid $10,000 in 1st year, $5,000 this year; and Barbara is suggesting $10,000 be paid after the banquet but before Devon 2009. The board tabled the decision on this suggestion until after the 2008 banquet finances are settled.
PHSA Hall of Fame
Cindi & Cheryll would like to institute a PHSA Hall of Fame. Criteria would be horses or person who competed in Penna but had national prominence. The award would be a members’ choice award. One trophy with 2 names on it per year: one for a person & one for a horse/pony. Trophy to be a photo album, which could be on display at the banquet & photos of the recipients can go inside. Board will nominate the nominees at least for this year (3 horses & 3 people.) The announcement of 2009 nominees will be made at the 2008 banquet with informational displays for each nominee. Criteria and ballots to be mailed to the membership after the 2008 banquet. Award at 2009 banquet. All board members to bring their nominees to the next meeting.
Breeding Committee
Susan distributed the new order of go and new classes for the PHSA breeding shows as proposed by the Breeding Committee. The board referred this issue back to the breeding committee. Cheryle suggested adding a young pony under saddle, making one a working & one a hunter. The breeding committee will have another meeting to formulate their recommendations to the Board. The breeding committee shall hold their meeting before November 24th; and shall come back to the board with their revised order of go recommendation in November. The board directed the breeding committee to reorganize at this meeting. Currently the breeding committee members are Doris, Sue, Cindi, Barbara, Ray & Cheryll. The board suggests that the breeding committee bring on a 7th member.
Membership
The board would like to approach Devon about adding the broodmare class as a class where PHSA membership is required (like the Young Hunter Under Saddle.) Suggested that PHSA send out a press packet including 2009 membership forms. Brian will check with Diane Boram on the mechanics of this mailing. Brian suggested an incentive program for members to sign up other members. Cheryll suggests that the press packets be attached to back numbers as the show secretary hands them out. Brian will come back to the next meeting with a budget for the membership committee.
Point Calculation Information
A point calculation document was distributed to the membership. The board again reviewed the document at this meeting and had questions. Audrey will prepare an analysis for the next meeting.
Banquet
Cheryle suggests that, in 2009 instead of soliciting banquet sponsors, PHSA should ask each barn to sponsor a division annually. Ask them at the beginning of the year. Brian will ask Katie about how NJHSA handles it. At the November meeting the board will discuss the charge for a division sponsorship, how the sponsorship program can be marketed & how the sponsors can be recognized.
The board voted not to award prize money at the banquet. The board will vote in November about permanently discontinuing the prize money award.
Brian suggested a scholarship for the high score junior rider beginning in 2010. It was recommended that any recipient must complete at least one full semester of school. It was also suggested that the scholarship money could be put in the student’s bookstore account if they attend a school that fails to allow a scholarship to reduce a student’s tuition.

Audrey will provide the board with an analysis of the last 8 meetings worth of board member attendance.
