Discussion on membership receipts which have fluctuated from $19,091.00 (2005) to $12,665.00 (2006) and back to $13,785.00 (2007.)


Point Calculation Information

The Board will send a mailing to all PHSA members, as well as posting the same information on the website; and, making it available at the upcoming shows. The information distributed will clarify how the performance and the breeding points are calculated. This will include the tabulation of points for special awards.

Audrey will contact Diane Boram and confirm that PHSA performance points are being awarded in strict accordance with USEF rules. The Board questioned whether 7th and 8th place PHSA points were being awarded beginning 12/1/08. Audrey will confirm. The mailer/website notice/show office handouts should clearly define the method for calculating the High Score performance horse or pony and clearly define the method for calculating all performance points.

Doris will prepare a document that clearly outlines how PHSA breeding points are awarded. It will also show how the points for the Leading Handler are calculated. Discussion on this subject. PHSA will award points to the handler listed on the entry sheet, so exhibitors should pay close attention to who they list on the entry blank. Previously if a handler handled multiple equines in the same class, they would only receive handler points for their highest placing animal. The Board voted to change that policy; and, beginning immediately all handlers that are PHSA members will receive leading handler points for each and every animal that they show.


Banquet Committee
The next banquet will be held at Longwood Gardens on January 17, 2009. The sponsor thank you ads will be placed through the summer & fall. Anyone with suggestions for ad locations should contact Audrey. An email will be sent to all banquet attendees asking them to contribute silent auction items or be a sponsor. Bob will hire the singer for cocktail hour & after the awards ceremony. Discussion on recipient of the PHBA Trophy, Gambone Trophy & Horse Show of the Year. It was decided that no replica would be given to the High Score Trophy winners, and only to division winners. Sponsor packets will be sent out in August & the sponsor levels will be discussed at the next board meeting as well as banquet ticket prices.

Discussion regarding dates upon which point totals will become final. All performance points won at shows which occur from December 1st through November 1st will become final on December 1st. All performance points won at shows which occur from November 1st to December 1st will become final on December 15th. All breeding points become final on September 1st. Audrey will share this information with Diane Boram & get her approval, then this point information should be posted on the website.

The B&B who donated a live auction item (Folly Hill) has gone out of business. Bob will contact the high bidder to work out an arrangement. The auction committee suggested that an ATM nearby the banquet area would be helpful, so Audrey will investigate.

Breeding Committee
Concern was raised that the PHSA breeding calendar also listed the PA Hunter Breeders Futurity. The board agreed that in the future, PHSA documents cannot be used to advertise other groups' activities. Doris distributed a draft letter that will go out to the PHSA Breeding show secretarys/managers regarding prompt submission of points. In addition to the letter, Cindi and Brian will reach out to breeding show managers to encourage compliance.


New Business

PHSA will join with EPPHA and split the cost of buying Diane Boram a new laptop computer.

The Board voted to spend no more than $10,000 in the 2008 fiscal year on charitable expenditures. The board approved the following charitable expenditures:

$1,000 Sallie Wheeler Breeding Championship
$5,000 The Devon Horse Show
$1,500 2008 Zone II Finals

The remaining $2,500 may be used for other charitable contributions as they arise; however, the $2,500 is not required to be spent.

The Board appointed a Sunshine Committee. The members are Cindi, Brian and Corey. This committee will be responsible for sending flowers and/or cards to members in need. A maximum cost of $50 per occurrence. This committee will act when appropriate and report their activities to the Board at the next meeting.
