Attending: Bob Daly, Gaye Goldeman, Cheryll Francella, Cindi Dieber, Cheryle Francis, John Mastriano, Troy Hendricks, Diane Daly, Corey Golden, Doris MacDonald, Sue Hansen, Barbara Miller, Audrey Winzinger.Absent: Brian Livell, Leigh Berman.
Treasurer's Report
Doris presented the report indicating total money in the bank is $34,704.56, consisting of $6,098.43 in the checking account and $ 28,606.13 in the money market account. Doris presented a letter signed by Leonard King from the Devon Horse Show thanking PHSA for their final payment on the barn restoration. Barbara read a letter from Devon, announcing their upcoming capital campaign.
Point Posting
PHSA has previously asked Diane Boram to buy (at PHSA's expense) and install new point posting software Bob left a voice mail for Diane Boram asking if she has bought new software. Point posting timeliness issue should be resolved with changes in the membership form intake procedure.The division headings on the website point listing, shows the text "1st over fences class." This is inaccurate because PHSA counts points from all over fences classes. Bob will speak with Diane Boram about this text; and, once confirmed Bob will ask Sue to have that text removed.
It was suggested that Diane Boram be asked to attend 1 board meeting annually to answer any point posting questions. Bob will ask Diane to attend the June meeting
MembershipDue to the time sensitive nature of processing the membership/horse registration forms, the decision was made for Corey to be the point person processing the forms. Corey will be paid $10/hour for her clerical work on this project.
It was decided that a box will be added to the registration form so that the member can indicate whether their animal is participating in performance or breeding. Also, the contact information will be corrected on the form.The membership form will also be altered by changing the word "Name" to Owner's Name & adding a line underneath to say "Farm Name". This will allow people to either register their animals as owned by a PHSA member or a PHSA member farm.
Another membership form modification will be to the category list on the upper portion of the form: The list that says junior, professional, amateur. Those 3 categories will be modified to look like the following:

Professional SeniorCorey will see that all of these modifications are made to the existing form and the corrected pdf is sent to Sue Hansen for website posting.
Discussion on bringing prior members, who have not renewed for 2010, into the membership. Discussion on attracting brand new members. A postcard is ready to be printed and sent to potential members. Bob will get addresses from Diane Boram.
Discussion on proposal that riders be required to be a PHSA member for the animal's points to count. Decision was tabled until the June meeting.
A lifetime membership was auctioned at the banquet and Mary Beth Lanza was the highest bidder. Audrey will create a lifetime membership card and forward it to Doris, for sending to Mary Beth.Reminder that all board members must be PHSA members.
BanquetBarbara presented the financial report for the banquet. Expenses were $41,925.60, $8,123.90 of which is attributable to the awards. The income was $36,009.00, for a net loss to PHSA of $5,916.60. This was a major improvement over the 2007 loss of $14,700 and the 2008 loss of $18,530.
Discussion on the 2010 banquet location. Longwood may have become cost prohibitive by their addition of large labor costs and minimum per person charges. The banquet committee will investigate other options and report back to the board within a month.
The banquet announcer was Wes Pace. Audrey will send a thank you letter from PHSA. Doris will send a $50 donation in Wes' name to Ryers Farm for Aged Equines.
Sue & Liz Hansen will donate a trophy in memory of What If for the 3'3" A/O Hunters. Sue will buy the trophy.
Class SpecIt was decided that the PHSA short stirrup rule specification will be changed to limit rider to cross entry only into another short stirrup division; but, the animal (with another rider) can compete in any other division.
Many Central Penn Horse Show Assoc shows allow horses to compete in pre-childrens & childrens; and, these shows indicate that these divisions are PHSA recognized. This cross entry is not allowed under PHSA rules. Discussion on how to prevent such a problem in the future. Managers could be required to send prize list to PHSA for review; but, who would do this review on all prize lists? How else can we alert managers to the PHSA class specifications? A copy of the PHSA division specifications will be added to the horse show packets.
Banquet Questionnaires
Discussion on adding a baby green division for 2011. Decision tabled until the June meeting.Horses or ponies can be inducted into the PHSA Hall of Fame. Board will choose the nominees and vote on the winner by secret ballot, at least for 2010. Cheryle, Cheryll and Cindi will provide the board with nominee criteria well in advance of the June meeting. Board members will come to the June meeting with 1 or 2 names based upon that criteria.
Sunshine Committee
A donation in memory of Jack Benson will be made to hospice in the amount of $500.
BreedingDiscussion on prior unanimously approved board decision that breeding awards may be different than performance awards. The previous board decision was reversed; and, all awards will be identical. A suggestion was made to delete the mare class since it is historically problematic because of low attendance. A decision on this deletion will be tabled until the June meeting
