PHSA Board of Directors
Meeting Minutes

Treasurer’s Report
Doris presented the report for Barbara. There is $4,101.81 currently in the checking account and $23,569.43 currently in the money market account for a total of $27,671.24.
Membership
- Discussion on sending membership cards & horse registration certificates to all new/renewing members as opposed to just breeding members. It was agreed that cards & certificates should go to all. Doris will handle the mailing.
- Discussion regarding the creation of a system where people can register their horses/ponies with PHSA and become a PHSA member/renew their PHSA membership on the website. This would include paying for the registration and/or membership online. It was decided that Sue would have this in place for 12/1/10. A postcard to the membership will be needed to provide PR for this new service.
- Corey will set up a facebook page for PHSA. Some PR will be needed to get people to become fans. Brian will set up an email group consisting of all current PHSA members, so we can email the group regarding PHSA news.
- Brian & Corey will get membership forms to the trainers in the database so that those trainers might get their customers to become PHSA members.
Shows
- Discussion regarding timeliness of the point posting. The board previously authorized the purchase of a computer program for Diane’s computer which would facilitate timely posting; but, it was unknown if the software is in use. Some board members mentioned that the website points had not been updated since the beginning of October. Bob will call Diane and investigate
- Horse show packets are in the hands of management & show registrations & payments are coming in to Brian, then Brian sends the check on to Barbara.
- PHSA has added a 3’3" A/O division for 2010; and, a new trophy sponsor will be needed.
- Discussion on allowing shows in states contiguous to Pa. to be PHSA recognized. Discussion also addressed a request for PHSA to recognize some Chester Co. shows. The board decided against the addition of any shows without at least USEF local member status.
- The Pre-green specs on the website are being updated to allow for 2 years of showing in this division. The PHSA board previously voted to allow for 2 pre-green years, so that the PHSA spec matched the Zone 2 specs; but, the spec never was updated on the website. Sue will facilitate the update.
Banquet
- Decided against gift bags for attendees
- PHSA will donate a basket to the EPPHA banquet- Troy will orchestrate basket at PHSA’s expense & deliver it to EPPHA.
- Annual Meeting will be held at 5:30 on 1/23/10. The board adopted the slate for the board seats expiring this year. The slate is Diane Daly, Cheryll Francella, Corey Golden & Doris MacDonald.
- Review of Cindi’s sponsorship/silent auction items reminder system. Nobody has received a reminder. Doris reported that Barbara has sponsorship checks from Pughtown Agway ($150) & Pidgeon Creek Farm ($150). Cheryle collected a sponsorship from Kocher Farm & Tack ($150.) Diane collected a sponsorship from John Howard ($150.) Sue Hansen previously donated a $500 sponsorship for Ecurie Fairmount. Many more sponsors are needed.
- Key to Worcester & PHSA Life Membership will both be part of the Live Auction. Working on other items.
- Discussion on Gambone Trophy recipient
- Review of screen placement for winners’ DVD & DVD honoring PHBA Trophy recipient. Further discussion on setting up a power point on a laptop to be shown on a screen near the Fern Floor showing the silent auction winners. Cheryle provided the text for the PHBA Trophy presentation. Cheryle will get it to Barbara & ask Barbara to handle the presentation.
- Questionairre to be placed at each banquet seat asking at least the following questions:
1. Should PHSA allow shows in states contiguous to Pa. to become PHSA recognized?
2. What would you like PHSA to give as high score champion & reserve champion awards?
3. In what other divisions should PHSA offer high score awards?
4. What else can PHSA do for you?
Breeding
- The breeding show schedule was distributed and approved with one addition. Doris will add language regarding the requirement that handlers must be PHSA members to gain leading handler award points.
- Discussion regarding the possible inequity of animals with only a few points receiving the same year end awards as those with a larger number of points. The board decided that, starting with the 2010 show year, the breeding high score awards can be different than the performance awards.
